The gap between a wedding ceremony and reception: what to do

How long the gap between ceremony and reception should be, what guests do during a long one, and how to fill a two- or three-hour break without anyone getting bored.

An hour is the ideal gap between the end of the ceremony and the start of the reception, filled with cocktail hour while you take family and couple photos. Up to about 90 minutes works if there's food and drink. A longer gap (common with church ceremonies and a separate reception venue) needs a plan: tell guests in advance, suggest somewhere to go, and give them food, drink and seats in the meantime.

Why the gap exists

Most of it is photos. Family groups, wedding party shots and couple portraits take time, and many couples take them right after the ceremony. The rest is logistics: moving guests between venues, turning a ceremony space into a dining room, or a religious venue that must be vacated.

Shortening it

• Take photos before the ceremony. A first look moves couple and wedding party portraits into the morning, leaving only family photos afterwards.
• Keep the family photo list short and written down. Give it to a family member who knows everyone, so they can round people up.
• Ask the reception venue whether guests can arrive early for drinks while the room is finished.
• Check travel time between venues at that time of day, not on a map at midnight.

Filling a long gap

• Say so on the invitation or website. "Reception to follow at 6pm" with a gap nobody expects leaves guests standing in a car park.
• Suggest somewhere to go. A nearby bar, café, park or hotel lobby. Some couples book a room or area for guests.
• Host something. A hotel hospitality room with snacks, a lawn games area, or a drinks reception at the reception venue that starts before you arrive.
• Organise transport. A shuttle removes parking worries and fixes when guests arrive.
• Feed people. A long gap followed by a late dinner is the most common guest complaint. Put real food in cocktail hour, not just a few canapés.
• Mind out-of-town guests. Local guests can go home; travelling guests have nowhere to be. A hotel near the venue with a lounge helps them most.

Put it in the itinerary
