How to plan a wedding when guests fly in from several countries: visas and travel authorisations, time zones, currency, languages and keeping everyone informed.

When guests are coming from several countries, the planning that matters most happens early: pick a date and place that most people can reach, give notice long enough for visas, and put every practical detail (entry rules, times, money, language) in one place guests can check. If your guests are spread across continents, no location is convenient for everyone. A few questions help:

• Where do most guests live? Count them by country; the answer is often obvious.

• Which places have direct flights from the cities most guests fly from?

Rules depend on the guest's nationality and the country they're visiting, and they change, so link guests to official sources and ask them to check early. Some examples of what guests may meet:

A few specifics worth passing on:

• Schengen visas are normally decided within 15 days, but the European Commission says it can take up to 45 days when more documents are needed. Guests who need one should apply as soon as the six-month window opens.
• The EU Entry/Exit System has been fully running across the Schengen area since 10 April 2026, recording fingerprints and a photo at the border. Allow extra time at arrival.
• The EU's ETIAS authorisation for visa-exempt visitors was scheduled to start in the last quarter of 2026. Check its status before telling guests whether they need it.
• Passports can take a while. The US State Department lists routine processing at four to six weeks plus mailing time.

Guests applying for visas often need an invitation letter. Offer one to anyone who asks, with the dates, venue address and your contact details, and send it quickly. Time zones

Time zones shape almost every message you send.

• Write times in the wedding's local time, and say so ("all times are local, Lisbon time").
• Set RSVP deadlines as a date, not a time, and allow a few extra days for guests who read messages overnight.
• Schedule video calls with family abroad at a time that's reasonable for both sides; a world clock app makes this easier.
• Plan for jet lag. Guests flying east across many time zones may be tired at night; keep the first evening short and relaxed.
• Livestream thoughtfully. If relatives are watching from home, tell them what time the ceremony starts in their time zone.

Currency and money

• Tell guests the local currency and whether cards are widely accepted, and mention tipping customs where they differ from home.
• Quote costs in the local currency on your website (room rates, transfers), since exchange rates move.
