How planners flip a wedding room from ceremony to reception during cocktail hour: what to ask the venue, what to pre-set, the order of work and two capacities.
A room flip turns the ceremony layout into the reception while guests are at cocktail hour, so it has to fit inside that hour. Ask the venue how long its team needs and how many people it will put on it, pre-set everything that can wait in a side room, move guests somewhere else with food and drink, keep the doors closed until the room is finished, and check the room's legal capacity for both layouts. Write the flip into the run of show minute by minute.
A flip is the answer when the ceremony and reception have to share one room: a single-room venue, a ballroom where the ceremony and dinner are in the same space, or a rain plan that brings an outdoor ceremony inside. It costs the couple an hour of guests out of the room and a crew working fast, so it is worth confirming there is no second space first.
If the ceremony and reception are in different places, there is no flip, but there is a gap; the couples' guide to the gap between ceremony and reception covers that case.
The venue's team usually does the flip, so its answers set the plan. Ask, in writing:
A flip is commonly planned to fit inside cocktail hour, which our run-of-show builder sets at one hour by default. That is a planning default, not a measured time; ask the venue for its own number for your wedding rather than assuming it.
The flip is quicker when the reception is half-built before the ceremony starts:
A flip that runs in the wrong order loses time to people waiting for each other. A common sequence:
The run-of-show builder times a 4pm ceremony with a one-hour cocktail hour like this, and the flip lives inside the cocktail hour line. Our builder keeps the florist until guests are seated for dinner for exactly this reason: the ceremony pieces move during the flip.
| Time | In the room | Guests | Who |
|---|---|---|---|
| 4:00pm-4:30pm | Ceremony | Seated in rows | Couple, officiant, photographer, DJ or band |
| 4:30pm | Doors close | Led to cocktail hour | Venue, your team |
| 4:30pm-5:30pm | The flip | Cocktail hour in another space | Venue, caterer, florist, DJ or band |
| 5:30pm | Final walk | Still at cocktail hour | You and the venue coordinator |
| 5:45pm | Doors open | Guests seated for dinner | Venue, caterer |
| 6:00pm | Grand entrance | Seated | Couple, DJ or band, photographer |
Family photos commonly run during the same hour, so the couple and family are not in the room either. Put a 15-minute buffer between the end of the flip and the doors opening; the run of show guide covers where else to put slack.
A room set with rows of chairs can legally hold more people than the same room set with tables, and the venue has to stay within the right number for each layout. The NFPA's occupant load fact sheet (as published by the City of Salinas) gives the example of a multipurpose room: set with tables and chairs, it is a less concentrated assembly use at 15 square feet (1.4 square meters) per person, net; set with rows of chairs, a concentrated use at 7 square feet (0.65 square meters). It notes such a room may have a sign with two limits, one for each arrangement.
The practical point for a flip: a guest count that fits as a ceremony may not fit as a dinner. Check the venue's posted capacity for the reception layout, and see the venue capacity guide for how the rules work in each market.
Draw the ceremony layout and the reception layout on the same room, so the crew knows where every table goes. The floor plan tool draws the reception: tables, dance floor, head table and bar to scale for the room size and guest count. Give the venue a printed copy with table numbers, and tape the table positions on the floor before the ceremony if the venue allows it.
Do not open the doors on an unfinished room. Tell the bar to keep serving, ask the DJ or band to keep cocktail music going, and send canapés round again. Tell the couple, so they are not waiting to make an entrance into a room that is not ready. Then tell the caterer, because a late seating moves dinner, toasts and everything after it.
The run-of-show builder and floor plan tool are free and need no signup; with a free planner account you can save both as PDFs for the venue team. Neither is saved to a client wedding inside the planner dashboard yet.
In the dashboard, each client wedding's seating chart sits in its seating studio, where you lay out the reception room, let Matchmaker (automatic seating) place the guests and drag anyone who needs moving. Save a room you have laid out to reuse at the next wedding at that venue, which is useful when the same room flips every weekend. Your first 2 client weddings are free.
It depends on the guest count, the layout and the crew. It is commonly planned to fit inside a cocktail hour of about an hour; ask the venue for its own time for your wedding.
It is better if they do not. Move them to another space with food, drink and seating, and keep the doors closed until the room is finished.
Usually the venue's team, sometimes with the caterer's staff or a rental company. Confirm who is responsible, whether it is charged, and how many people will do it.
